This function generates the invoices corresponding to the physical deliveries. The invoices are created from the data taken from the shipping orders, created by the function Sales Order Shipping (Logistics menu).
A given invoice (already transmitted to the customer) can be chosen in the rolling list and displayed.
By clicking on the New button, a new invoice is created and a new invoice number is generated. The date corresponding to the invoice is entered (by default the current date is proposed).
Then one has to enter the corresponding customer code. The list of the shipping orders that have not been invoiced is displayed via the button Shipments non-invoiced. When a shipping order is selected in the list, the corresponding customer code is transferred in the Customer code cell.
Then the following information concerning the customer is displayed:
• payment term,
• maturity date,
• discount.
Then, the list of shipping orders corresponding to the customer invoice is displayed. For each line (i.e. for each shipping order) the following data are displayed:
• line number,
• item code and description,
• shipped quantity,
• unit price,
• discount,
• pre-tax amount,
• VAT rate.
For the overall customer invoice the following data are also calculated
• The total amount of the invoice (without including taxes),
• The discount rate applied,
• The pre-tax amount,
• The VAT amount,
• The total amount (including taxes)
When an invoice is selected in the rolling list, all the associated shipping orders are displayed. It is possible to eliminate some orders from the invoice by clicking in the F column. The different amounts will be automatically updated.
When clicking on the line, the customer order shipment details are displayed.
It is worth noting that the user can select payment conditions that are different from the payment conditions recorded in the customer maintenance page (that are used by default). Again, the different amounts will be automatically updated accordingly.
The invoice is validated by clicking on the OK button. The invoice is then transferred into the customer account.
The due date for a given invoice can be changed under the condition that the invoice has not yet been paid, nor sent out.
The Display button posts the printed invoice.
